About the Role
We are looking for a talented Office & Commercial Coordinator to join our team who will be responsible for office administrative work, internal communications, company activities and commercial coordination. He/she will also be responsible for providing consulting services to relevant customers to grow the business and develop the OUP brand in the market.
Key responsibilities:
Office Coordination
- Provide administrative support to the office such as office supplies & office equipment maintenance, courier services, coordination of travel arrangements for local and overseas quests, arrangement of team & company events (business planning meeting/ Asia manager’ meeting) and IT support.
- Handle office expenses & petty cash and maintain a clear record for approval and payment; handle staff expenses, make sure staff are submit on time with manager approval and pass to outsourced company.
- Support recruitment process, new staff settle down (prepare office space, equipment, user account, etc), provide induction training; and keep/ update holiday balance, and circulate staff handbook and regulation.
- Maintain complete staff records (staff personal info, insurance records, etc) and staff leave record and office assets list.
- Check distributors’ monthly order schedule, invoice confirmation, gratis copy uses and process credit claim request to UK.
- Manage the gratis for office such as updating stock list, controlling stock level, counting stock for audit, checking UK/ CN’s stock availability, and ordering gratis and advanced copy of new titles.
- Support RAM for annual price increase exercise, SNP request, and local price adjustment.
- Update monthly report, produce quarterly gratis & defective claim report and provide relevant business data upon RAM’s request.
- Act as a main contact for internal communication, and customers’ inquiry.
- Update monthly customer report. Act as a bridge between the Educational Consultant and the customer.
Commercial Coordination
- Maintain existing small institutional adoptions and prospect new business by phone and email to assess needs and to position appropriate materials.
- Follow up on marketing leads and to pass to relevant team members as appropriate.
- Timely and accurate input and update of institution, contact and adoption data in the system.
- Data extraction and manipulation to enable planning and reporting of business activity.
- Identify ELT market trends, conditions, activities, and opportunities.
- A broad understanding of not only OUP products but also competitors' products.
- Have basic knowledge and skills in marketing to collaborate with the marketing team.
- Increase and develop knowledge of current ELT pedagogy through provided training and self-study.
- At all times maintain an appropriate, professional relationship with customers, ensuring a positive image of OUP and of you as the company representative
About You
Essential:
- Fluent in Vietnamese and English. Strong communication skill.
- Ability to manage time effectively.
- Proficient in MS Office Applications like MS Excel, Word and Outlook
Commercial knowledge. - Knowledge of ELT market.
- Ability to work independently and be an effective team player
Desirable:
- Prior work experience in administration, and general accounting is preferable.
