About the Role Working as part of a Marketing Operations team, the Marketing Operations Assistant helps deliver a wide range of operational and administrative tasks to support the Academic Marketing team. The primary aim is to maintain key relationships and bring OUP products to market efficiently and with impact.

Key Accountabilities

  1. Administer and record the distribution of gratis and incentive marketing

    • Evaluate and respond to requests for gratis review copies from academic journals and other media.
    • Issue successful requests for fulfillment and record centrally.
    • Evaluate and respond to opportunities to nominate OUP titles for awards and prizes.
    • Issue gratis copies for fulfillment and record centrally as required.
    • Record successful award nominations and wins internally.
    • Understand and provide methods for accessing digital content free of charge.
    • Provide regular reports/statistics describing the volume and value of gratis copies issued.
  2. Maintain and enhance publicly accessible OUP product information

    • Regularly attend to and enhance product information in the OUP Marketing database (STAR) to aid impact and discoverability.
    • Answer queries from external and internal sources related to the presentation of OUP titles on public websites and implement corrections quickly.
    • Curate and prepare review content from academic journals and other media for upload to the OUP Marketing database (STAR).
  3. Maintain the supply of sales collateral

    • Regularly create and supply sales collateral (e.g., sales sheets, AI’s) to Academic Sales teams.
    • Audit and update pre-existing sales collateral to ensure relevance.
    • Maintain publicly accessible resources/websites used by OUP customers to ensure content remains relevant.
    • Initiate and complete processes for Academic Marketing teams to select OUP products for inclusion in print/digital catalogues.
  4. Collaboratively enable and administer cooperative marketing initiatives

    • Execute initiatives to promote OUP products with co-op partners following direction from Academic Marketing teams.
    • Administer payment for co-op marketing spend.
    • Track and report costs regularly.
  5. Provide administrative support to the Marketing Design Executive

    • Triage incoming requests from Academic Marketing for design work.
    • Collaborate with the Marketing Design Executive to place work for completion by internal design resources.
    • Provide regular reports/statistics describing the volume and type of design work actioned.
  6. Provide administrative support across Marketing Shared Services and Operations

    • Action emergent or seasonal tasks as identified by the Marketing Operations Manager.

  • Education or Qualifications:

    • Educated to A level/BTEC standard or achieved a CIM level 3 qualification or higher.
  • Previous Experience:

    • At least 6 months of experience working in a professional work environment, ideally in a business office location as part of a team.
    • Intermediate level IT skills, ideally with progressed ability for using Excel.
    • Previous experience in a Marketing, Commercial, or Operations setting is desirable.
