About the Role

The Editorial Assistant provides editorial and administrative support for a multifaceted publishing program. This includes supporting commissioning and content development across various formats and disciplines, and liaising with authors, editors, reviewers, and internal stakeholders to ensure effective project management throughout the editorial process.


Key Accountabilities

  1. Editorial and Administrative Support

    • Complete assigned tasks across all stages of the editorial publishing process under supervision.
    • Prioritize and manage tasks efficiently, responding to routine queries.
  2. Project Set-Up

    • Assist in setting up projects by creating and recording accurate product/content data using internal systems like Oxford Publish.
    • Run profit and loss (P&L) reports.
  3. Content and Data Processing

    • Load, review, edit, and manipulate content/data in various systems.
    • Maintain tracking systems and generate reports and samples.
  4. Contract Processing

    • Handle standard contracts, including issuing, signing, and maintaining records.
    • Liaise with Royalties and Publications teams and respond to routine contract queries.
  5. Author Support

    • Respond to basic author queries and direct complex ones appropriately.
    • Provide standard materials and maintain author relationships.
  6. Project Management

    • Learn to manage new-in-paperback projects and multi-contributor works.
    • Support projects from author delivery to production handover.
  7. Production Handover

    • Prepare content for production, including manuscript assessment, basic edits, metadata updates, permissions, and marketing materials.
    • Monitor production progress and handle related queries.
  8. Payments and Access

    • Process payment requests for suppliers, authors, and freelancers.
    • Manage complimentary access requests for contributors.
  9. Administrative Support

    • Support Heads of Content Development and Editorial Operations with reports, training documents, calendar and agenda management, and departmental coordination.
  10. Cross-Functional Collaboration

  • Maintain communication between Editorial and other departments to ensure smooth publishing operations.

  • Actively contribute to departmental and divisional goals and participate in additional projects as agreed with the manager.

Skills, Knowledge, and Experience

  • Essential Attributes:

    • Strong organizational, time-management, and project-management skills
    • Excellent oral and written communication
    • Fluent in English
    • Strong proofreading and research skills
    • Proficient in word-processing and spreadsheet tools
