About the Role

To provide support to the Journal’s Editorial teams globally. This support involves both regular and one-off tasks, as directed, to help the publishing groups run effectively, working collaboratively with colleagues across the journals division. In addition, these roles will provide stand-in support for the Journal’s Editorial central inbox and on a variety of process management tasks as required

 

Key Accountabilities

  • Provide administrative support to ensuring effective management of existing journals portfolio, including but not limited to:
    • Ensuring journal home pages are up to date, for example by maintaining Editorial Board details, or adding new data or features.
    • Maintaining relevant and appropriate gratis subscriptions across a list of titles including processing requests for books processing as required
    • Completing title-level indexing applications across the list and supporting activities around the annual release of journal impact factors
    • Requesting archive quotes to support bids and acquisitions on request
    • Tracking and completing editorial payments as required, ensuring that Editorial Payments Schedule is regularly updated and accurate.
  • Provide support to Publishing Assistant team and Journals Publishing Support Manager as required, including but not limited to:
    • Providing cover on Editorial Central Inbox
    • Assist in maintaining the journals contracts repository and maintain best practice in
    • data management.
    • Assist with co-ordination of internal briefings and external client meetings as required.
    • Preparing first draft Publishing and data reports as requested
    • Logging and chasing GTSD (IT support) tickets for miscellaneous matters.
  • Systems and data. Understand how to work efficiently within all relevant systems (including JUPITER, S4 HANA, Tableau, Paperstack Oxford People, etc) to ensure items are processed promptly and accurately, handling queries that require systems use to give answers, and ensuring the creation and maintenance of accurate data and record keeping. Co-ordinate access to relevant system for new starters within the team and trouble-shoot access issues for existing team members.
  • Indexing: Support efforts to ensure complete and accurate indexing of journals content within relevant external databases. Complete indexing applications for new titles as required. Work with data teams to identify and resolve gaps in coverage. Work cross functionally to co-ordinate annual activities around Impact Factor release.
  • Project Support: Undertake Journal’s Editorial team project work as required.
