As part of the Academic Division, you’ll be involved in current and future commissioning projects, digital initiatives, reporting activities, and new product development. Opportunity – the ‘what’
In this role, you will provide end‑to‑end commissioning and administrative support across a wide range of publishing activities. Your day‑to‑day work will include:
- Coordinating peer review processes, managing invitations, deadlines, collating reports, and processing payments and gratis copies.
- Issuing standard decline communications for speculative proposals.
- Preparing new‑in‑paperback proposal paperwork, including collating sales data and edition reviews.
- Supporting digital commissioning projects, such as Oxford Intersections, Law Pro, Reference products, and the Audience Editor team—including research, admin tasks, report drafting, article pitch coordination, and contract requests.
- Delivering general acquisitions administrative support, such as preparing reports, arranging product access, processing exam/instructor copy requests, drafting internal documentation, handling payment requests, agenda and calendar management, and liaising with internal departments.
- Supporting Open Access (OA) processes, including updating funding records and OA documentation.
- Managing prize administration for research book awards—coordinating submissions, batching entries, handling payments, and liaising with award committees.
- Ensuring effective internal liaison to maintain seamless information flow across OUP.
- Working accurately within systems and data tools, including SAP and Biblio, troubleshooting system‑related queries, and maintaining precise records.
As the role develops, you may also:
- Draft basic contracts and cover notes.
- Collate and proofread Pub Comm proposals and Delegates’ paperwork.
- Support post‑publication author care and manage queries or corrections.
- Manage permissions queries from translations and rights teams.
- Handle administrative tasks on OUP India systems.
Your work will have a direct impact on the efficiency and quality of commissioning and publishing activities across the Academic Division, contributing to the success of OUP titles globally.
About You
Essential Criteria
- Educated to degree level or equivalent.
- Previous administrative experience (publishing experience desirable but not essential).
- Excellent written, verbal, and interpersonal communication skills.
- Highly literate and numerate with strong attention to detail.
- Strong organisational, time management, and prioritisation abilities.
- Able to work independently and proactively.
- Excellent proofreading and research skills.
- Computer literate, proficient with MS Office (advanced Excel desirable).
- Aptitude for quickly learning new systems.
- Fluent in English.
Desirable Criteria
- Prior experience in a publishing environment.
- Familiarity with SAP, Biblio, or similar systems.
